This action is possible on Ochre (and sometimes Shopify) in cases where you would like to add a non-promo item to an order and are happy to fulfil it without payment. Example cases would be to do an item exchange, or gift an item to a Customer that has already placed an order.
If adding a zero-value item, this must first be done on Ochre, but if you want order data on Shopify to remain in sync (which we strongly recommend) it should also be done on Shopify. The caveat is that currently, Shopify does not allow you to edit the value of an item added to an order - so in order to complete this action, the item must be in the Shopify catalogue at zero value already.
To add a zero-value item to a Shopify order:
- Navigate to the order in question within Ochre Admin.
Check if any shipments for the order have been created. If they have, you will need to cancel them first.
a) Within the white shipment box at the bottom of the page click the shipment ID 'Shipment 0000000'
b) On the shipment page go to Actions > Cancel. The cancellation will be requested.
c) If successful, the shipment will be marked as cancelled- In the actions menu in the top right of the order detail page, select ‘Add physical product’.
- From there, search for the format you wish to add to the order and select it. Please note that you are currently only able to add formats that are currently in your Shopify store catalogue.
- Select whether you would like to add the item to an existing shipment (this must be a shipment that has not been dispatched already) or create a new shipment.
- If you want to ship the item in a new shipment, select the warehouse you wish to use for the shipment. Please note that this action is possible even if there is no SKU / stock in the given warehouse, so please check this beforehand.
- Select the postage method you wish to use for the new shipment. Please be sure to select a postage method that is configured for the selected warehouse.
- Click ‘Add Product’ to apply your changes to the order.
- If the item was placed in a new shipment, create a new shipment to initiate fulfilment
- (Optional) If the item is listed as zero-value in Shopify, you can also reflect the added item in the order on the Shopify side. Navigate to the order there, which you can then edit and add the same item.
