Bandcamp Migration Overview

Ochre will be migrating your account to new warehousing systems within the next month, including the integration of your Bandcamp. This overview provides information about the process and what actions we need you to take to make transferring your Bandcamp a smooth transition. We are available to assist with this process, so please reach out if anything is not clear at this stage.

We need you to do the following right away:

• Provide Ochre access to your Bandcamp stores
• Review the existing orders in Bandcamp to ensure that all orders in the Locations that you wish Ochre to fulfil can / should be ingested into our systems.

Further details on this are provided below. Once we have this access we can schedule your account for migration.

If we do not have access to your Bandcamp store there is a risk of interruptions to your Bandcamp shipping. Not having access also means we will not have access to your Bandcamp presales which impacts Ochre’s calculation of your stock availability and may lead to oversells.

Where possible, we will be using the product data that you have previously provided us to ensure we can continue to ship your goods. However, we also need you to review the information we have to ensure it is correct and provide some additional information. This will help to ensure deliverability and stock accuracy. Details on this are provided below.

Timings

On the day of migration, shipping will be temporarily paused.

UK shipping will resume within 1 day. USA shipping will resume within 3 days.

Required Actions

Pre-Migration Order Review

This will avoid orders being double-shipped and ensure stock levels are accurate. We need you to review all open (unshipped) orders in Bandcamp to confirm that they are eligible for shipping by Ochre. Any that you do not wish to be shipped should be marked as Dispatched, or Cancelled before we migrate.

Bandcamp Access Granted to Ochre

Provide Ochre access to Bandcamp as a fulfilment partner by entering Ochre’s Bandcamp Fulfilment partner email address into Bandcamp.

Invite Ochre as a Fulfilment Partner within Bandcamp entering the email:

You must select a location to do this, but we will not be processing any orders or updating any stock levels until migration is complete.

Metadata Checks & Validation

Once we have prepared the integration with Ochre we will share access to the product catalogue in Ochre. We then need you to review and validate the product information. This data will be partially ingested from Bandcamp and partially from Whiplash.

Release dates

Fill in any gaps in release dates. Setting release dates to products in Ochre is essential for presales to ship on the correct dates.

Format types

Review the selected Format type in Ochre (CD, Vinyl, etc). This is important for the correct assignation of tariff codes and other product attributes to ensure deliverability. 

Artists and Labels

Apply an artist and label to each product to ensure they are identifiable.

Ochre will continue shipping based on the data we have previously been holding in Whiplash. But reviewing and updating this information in Ochre is essential to ensure consistency and avoid future issues. Ongoing we will be considering the Ochre Platform data to be the master record.

Release Dates and Format Types can be edited individually and in bulk from the Format Listing Page in Ochre. Multi-select the items you wish to change and Edit Selected.

The same can be done for Artist and Label on the Product Listing Page.

Note that you can filter the page to view all the products that do not have this information.

Variant Format Types

When a product variant is imported into Ochre, the product variant title is imported but not the format type or sub-format type. We recommended adding sizes to format variants using 'Edit Variant Info'.
